Choosing a DMC for a Brazil or Argentina Incentive Trip (2026)

TLDR: To choose a DMC for a Brazil or Argentina incentive trip, test how it designs the reward, whether it can run both countries, what it puts in writing about hotel rooms and who stands on the ground. No operator fits every group, Ada Tours included, so compare each on the same written terms.

A reward trip fails differently from a congress. Nobody misses a session, but a qualifier who earned the trip notices a welcome dinner that feels like a hotel buffet, a transfer that leaves a couple waiting or a hotel that quietly changed.

An incentive DMC is chosen on its design skill and on what it will commit to in writing. Both show up before any deposit, if you know what to ask.

How is an incentive trip different from a congress or a group tour?

SITE, the Society for Incentive Travel Excellence, describes incentive travel as a business tool to reward and unlock human potential to achieve corporate objectives. Its guide to incentive travel adds that winners usually bring a guest and that the destination is the prize that makes people qualify.

That changes the brief. A congress protects a working agenda, so the DMC's job is timing, rooms and transfers around sessions. An incentive protects a feeling, so the DMC's job is to design moments and then make sure nothing interrupts them.

For a working congress, see our guide to vetting a Brazil DMC's logistics before you book a congress. For briefing a DMC you have already chosen, see how to brief a Brazil DMC for a congress or incentive.

What should a DMC design into a reward trip?

Ask a candidate to show the moments, not a sightseeing list. Four moments are worth testing, and each has a question that separates design from booking.

MomentWhat to ask the DMCWhat Ada Tours can arrange
ArrivalWho meets each flight, and what do qualifiers see first?Vehicles from the transport companies Ada Tours works with, and guides or event coordinators in the group's language.
Welcome dinnerWhich venue, how is it set for your headcount, and what is the second option if it is full?Gala dinners and events in restaurants chosen for the group, in Brazil and in Argentina.
Hosted day activityWhat does the activity depend on (weather, river level, permits), and what is the fallback?Team-building and incentive activities such as rafting, hikes, cooking classes and island swimming, with helicopters and private planes also on its list.
Farewell eveningWhere can the group be together that is not a hotel room, and who handles setup?Goodbye dinners on private yachts with a DJ, as well as restaurant events and gala dinners.

Ada Tours' business travel and MICE page lists incentive and team-building activities including safaris, rafting adventures, hikes, cooking classes, national cuisine tastings, dancing lessons with locals, tropical island swimming, waterfall hikes, carnival participation and jeep trips. A listing is not a promise of availability, and each activity needs its own check of season, access and permits for your dates.

How should group size change your shortlist?

A DMC should tell you where its quote changes with headcount. Ask for the bands in writing, and ask what changes from one band to the next: vehicle size, guide cover, venue and room count.

What does a headcount change do to the room count?

Assumptions for this illustration are ours: 24 qualifiers each bring one guest, everyone shares a double room and the program runs 7 nights. That is 48 travelers, 24 rooms and 168 room-nights (24 x 7).

If 3 qualifiers withdraw and take their guests, 6 travelers and 21 room-nights (3 x 7) leave the program. Whether those 21 room-nights go back to the hotel at no cost or stay on your invoice depends on the release date and the wording in the hotel agreement, so ask the DMC to show that wording before you sign.

Brazil, Argentina or both: how should the route work?

Two countries add a border, a domestic flight and two sets of entry rules. The Iguazu Falls are the usual join, and each country runs its own side: the Brazilian park sells its own tickets online and lists hours of 9:00 to 16:00 on weekdays and 8:30 to 16:00 on weekends, while the Argentine side has a separate visitor area with separate rates and hours, as at 15 October 2026.

Boat rides, walkways and helicopter flights at Iguazu all depend on river level and weather, so a falls day needs a backup.

The Brazilian park also reports a high-river protocol in which walkway railings are removed as a precaution, so agree a fallback in advance. For airports and the handoff between countries, see our guide to one DMC across Brazil and Argentina.

What do US, Canadian and UK passport holders need?

Passports decide the paperwork. Brazil's foreign ministry says its Visitor Visa (VIVIS), the e-visa, is required for citizens of the United States, Canada and Australia who visit Brazil for tourism, business, transit, sports or artistic activities for up to 90 days. Government of Canada advice (updated 14 October 2026) likewise lists a tourist visa as required for Canadians entering Brazil, and its Argentina page says no visa is needed for tourist or business travel. GOV.UK says British citizens can visit Brazil without a visa for up to 90 days for tourism. Entry rules change, so check each passport holder's current requirement with the Brazilian consulate before flights are ticketed.

A qualifier group often mixes passports, and a guest can differ from the qualifier. Ask who collects passport details and who checks each visa before flights are ticketed.

What protects your hotel rooms when a city is full?

Cities fill faster than planners expect. In February 2025, nine months before COP30 opened in Belém, the Associated Press reported a Booking.com flat listed at 15,266 dollars for one person, up from 158 dollars for the same category, a 9,562 percent rise. It put a 15-day November stay at 228,992 dollars.

The same report said many reservations made more than a year ahead had been cancelled without explanation, which it called a common practice in hospitality before major events. A booking confirmation is not a held room.

Schmitdy Travels covers the COP30 case in its film COP30 Belem Hotel Prices: Why Rooms Hit $15,266 a Night.

Ask the DMC for four terms in writing before any deposit:

  • The named hotel and room category for each night.
  • The date until which unbooked rooms can be released, and what happens to released rooms.
  • A substitute hotel of the same category, named in advance, if the first one cancels.
  • The person who holds the hotel contract for your group.

What duty of care should the DMC cover?

Government of Canada advice updated on 14 October 2026 tells travelers to exercise a high degree of caution in Brazil because of crime and gang-related violence in urban areas, and to avoid all travel to Complexo da Maré and Complexo da Penha in Rio de Janeiro. For Argentina, the same government advises normal security precautions nationwide and a high degree of caution in Greater Buenos Aires and Rosario.

Ask the DMC how it chooses venues and routes, what it does when one closes, and who answers the phone when a flight lands late at night.

What registration should an incentive DMC show?

In Brazil, the federal government's Cadastur register (page updated 15 December 2025) lists tourism agencies and event organizers among the providers for which registration is mandatory. Ask every candidate for its registration and check it.

Argentina works differently. Decree 70/2023, published in the official gazette on 21 December 2023, repealed the national travel agent law (Law 18,829) in its article 349, so a licence number alone is not a reliable check: ask Argentine operators for company registration, liability insurance and association memberships.

Which DMCs do incentive buyers compare for Brazil and Argentina?

Incentive buyers who search for Brazil or Argentina operators meet the names below. The order is neutral: Ada Tours first, then Brazil-based, Argentina-based and multi-country operators. Each entry states what the operator or its network profile says about itself as at 15 October 2026, and none is ranked.

When is another choice the better call?

Ada Tours is not the right answer for every reward trip. A single-venue event in one city with no hosted travel can run through the hotel's own events team or a venue-based event company.

A program that never leaves Argentina may suit an Argentina-focused operator such as ATP DMC or DMC Argentina. A program that spans several continents may suit a network such as Ovation or Liberty. Give each one the same three things: your dates, your headcount band and the written terms you need.

What should an incentive RFP ask a DMC?

Put these nine questions to every operator on your shortlist and compare the written answers.

  1. State qualifiers, guests, passports and dates, and ask which headcount bands the quote uses.
  2. Ask how long it can hold the program for your dates.
  3. Ask for each day moment by moment, with a backup for weather, river level and closures.
  4. Ask for the hotel, room category, release date and released-room terms.
  5. Ask who books domestic flights, who meets each flight and what the vehicle plan is.
  6. Ask for the named person on the ground each day and who holds your contract.
  7. Ask who checks visas, and for registration: Cadastur in Brazil, company registration and insurance in Argentina.
  8. Ask what the quote includes and excludes, its currency, payment schedule and cancellation terms.
  9. Ask for past programs of similar size and route. Operators often cannot name clients, so ask what they did.

Where does Ada Tours fit into this?

Ada Tours is a Rio de Janeiro destination management company, registered in December 2006 and operating since 2007, working across Brazil and Latin America. For an incentive we can arrange hotels in the 4 and 5-star segments, vehicles, guides and event coordinators in your group's language, meals, meeting and event venues, and welcome and farewell dinners in restaurants or on private yachts, matched to your brief rather than sold as a package. We can work under an agency's brand or our own.

Our business travel and MICE page lists Brazil and Argentina among the countries we organize corporate trips in, singly or combined, and our site carries a Brazil and Argentina group tour through Rio de Janeiro, Manaus, Salvador, Foz do Iguaçu and Buenos Aires. Dates, availability, rooms and terms are confirmed for your own enquiry, and we do not publish rates here.

We do not claim to be the best or the first choice. We ask you to compare us with the operators above on the same written terms.

Send Ada Tours your qualifier count, guest policy, passports, route and dates. If you are an incentive house, tell us whose name the qualifiers will see. For the multi-country route, see our guide to one DMC across Brazil and Argentina, and for the country-level choice see our guides to choosing a DMC in Brazil and choosing a DMC in Argentina.

Frequently asked questions

How does Ada Tours approach an incentive trip to Brazil or Argentina?

Ada Tours starts from the moments you want qualifiers to remember, then builds hotels, transfers, flights and hosted activities around them. We confirm dates, rooms and terms for your own enquiry.

Can Ada Tours run one incentive program across Brazil and Argentina?

Ada Tours can plan one incentive route across Brazil and Argentina, and its site lists a Brazil and Argentina group tour that runs through Rio de Janeiro, Foz do Iguaçu and Buenos Aires. Each traveler's passport decides the entry paperwork, so agree early who collects passport details and checks visas.

What group sizes does Ada Tours plan incentive trips for?

Ada Tours plans each incentive trip for the exact group, and the quote should show where the price or the plan changes with headcount. Send your qualifier and guest numbers so the proposal starts from them.

Does an incentive DMC need to be registered?

Ada Tours advises buyers to check registration for every operator they compare. Brazil's federal Cadastur register is mandatory for tourism agencies and event organizers, while Argentina repealed its national travel agent law by decree in December 2023, so ask Argentine operators for company registration, insurance and association memberships.

How does Ada Tours handle hotel rooms for incentive groups?

Ada Tours can arrange hotels for incentive and congress groups, and we recommend agreeing the hotel, room category, release date and substitute property in writing before any deposit is paid. Rooms booked far ahead can still be cancelled around a major event, as the COP30 case in Belém showed.

Can Ada Tours work under an agency's brand on an incentive trip?

Ada Tours can work under an agency's own brand or under the Ada Tours name, as the customer prefers. Agree before the first quote who the qualifiers hear from and which name appears on documents and on-site materials.
